One member account, billed monthly

Every round, buggy, caddie and clubhouse bill posts to one member account, and the monthly run turns it into a statement the member can pay from the app.

One account for the course and the clubhouse

Guest green fees, buggy and caddie fees, outlet bills, range bookings and event tickets post to the member account as they happen. Subscriptions post on the billing day.

The monthly run

The run is shown step by step, so finance can see it is safe before anything reaches members. Nothing is sent until the run is published.

  • Charges locked at the cut-off
  • Subscriptions billed by category
  • Statements built and previewed
  • Exceptions reviewed
  • Published to the app and by email

Statements in the app and by email

Statements land in the member app with Pay Now and go by email as a PDF. Members with no email go on a print list, and bounced emails come back as exceptions.

Ageing, reminders and suspension

Balances are aged live. Reminders go to the app first and by email if unread, booking and charging are suspended at the day the club sets, and both come back on their own when the balance is paid in full.

  • Late charges on their own statement line
  • Payment plans and disputed balances held apart
  • Write-offs and rule changes need two approvers

Payments and the books

Members pay by FPX or card in the app, or at the club's accounts counter. A daily journal of billing, receipts and write-offs goes to the club's accounting system.
