Who it's for
Each person works on their own screen, on the same member records.
A licence, not a monthly subscription
The club buys the system and keeps everything it records. idataraya is paid to customise, install and maintain it.
| Topic | A hosted club system | asasii club |
|---|---|---|
| Who owns the software | The vendor; access ends with the subscription | The club, outright |
| Where member data lives | The vendor's cloud | The club's own environment |
| Rules, rates and categories | Within the vendor's standard settings | The club's own, customised by idataraya |
| The club's other systems | The integrations the vendor offers | A documented API, open to any of them |
| What it costs | A subscription for as long as the club uses it | A licence, plus a yearly fee with defined response times |

Questions clubs ask
About the tee sheet, the member account and the clubhouse.
Can the website, the app and the desk all book at once?
Yes. The club website, the member app, the front desk and the starter all book against the same tee sheet, so there is no second copy to drift. Blocked times are hidden from the app, and members already booked are told when a block touches their tee time.
How are guests and their fees handled?
A member adds a guest while booking and sees the guest fee before confirming. At check-in the fee is charged to the member's account or paid by card or cash, and each member's guests for the month are counted against the club's limits. An override is recorded on the guest register.
Does the member app carry the club's name?
Yes. The app name, icon, colours and home photo are the club's own, set in the club's settings. Members sign in with their membership number, and a member new to the app activates it with a one-time code sent to the registered mobile.
How do clubhouse charges reach the statement?
The restaurants, bars, halfway houses and pro shop run on asasii pos. The server scans the member's QR from the app, the name and account status show before the charge, and the charge posts to the member account at once, with the receipt in the member's app.
How does the monthly statement run work?
Charges are locked at the cut-off, subscriptions are billed by category and every statement is built for review. Finance clears the exceptions first, and nothing reaches members until the run is published to the app and by email.
What happens when an account falls overdue?
Reminders go to the member's app first, then by email if unread. At the day the club sets, booking and charging are suspended, and they come back on their own once the balance is paid in full. Changing these rules needs two approvers.
Where does it run, and can our other systems talk to it?
In the club's own cloud account or data centre. idataraya installs it, hardens it and keeps it current, and the club's team holds the keys, the backups and the data. asasii club links to the national handicap system and the club's accounting system, and a documented API lets other systems or a third party read and post what they need to.
What does the yearly agreement cover?
Software updates, the customisations made for you, monitoring, and severity-based response and restoration targets. Hosting stays with you. It is a yearly fee, not a share of green fees or clubhouse takings.
